WorkVive ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform, website, and services (collectively, the "Platform").

  • Account Information: Name, email address, password, phone number, and profile information when you register.
  • Business Information: Company name, industry, territory, and business details for Account administrators.
  • Application Information: Resume, LinkedIn profile, experience, qualifications, and other information submitted when applying to partnership opportunities.
  • CRM Data: Contacts, companies, leads, deals, activities, and notes entered into the Platform by Account users.
  • Communication Content: Messages, discussions, comments, and email content created through the Platform.
  • Media Content: Videos, recordings, and files uploaded to the Platform.
  • Payment Information: Payout method details for commission recipients (processed by third-party payment providers).

1.2 Information Collected Automatically

  • Usage Data: Pages visited, features used, actions taken, and time spent on the Platform.
  • Device Information: Browser type, operating system, device identifiers, and IP address.
  • Log Data: Access times, error logs, and referring URLs.
  • Cookies and Tracking: Information collected through cookies, web beacons, and similar technologies.

3. Data Sharing and Multi-Tenant Architecture

3.1 Within the Platform

WorkVive is a multi-tenant platform where data visibility is determined by Account membership and roles:

  • Account Administrators and Managers: Can view all data within their Account, including team member activities, leads, deals, and partner applications.
  • Sales Representatives: Can view data assigned to them and their own activities.
  • Applicants: Information submitted in applications is visible to Account administrators and managers reviewing applications.

3.2 Public Information

Certain information may be publicly visible:

  • Account public profiles on opportunities pages (if recruiting is enabled).
  • Booking page availability and scheduling information.
  • Videos shared via public links.

3.3 Third-Party Service Providers

We may share information with third-party vendors who perform services on our behalf, including:

  • Cloud hosting and infrastructure providers.
  • Payment processors for subscription and payout processing.
  • Email delivery services.
  • Analytics providers.
  • AI and transcription services (for video processing).

These providers are contractually obligated to protect your information and use it only for the services we request.

3.4 Legal Requirements

We may disclose information if required to do so by law or in response to valid legal requests, such as subpoenas, court orders, or government regulations.

3.5 Business Transfers

4. Data Processor Role

For CRM and business data entered by Accounts: WorkVive acts as a data processor. The Account (business) is the data controller and is responsible for:

  • Obtaining appropriate consent from individuals whose data is entered.
  • Ensuring data is collected and used in compliance with applicable privacy laws.
  • Responding to data subject requests from their contacts, leads, and team members.
  • Determining retention periods for their business data.

WorkVive provides tools for Accounts to manage, export, and delete data, but Accounts remain responsible for their data handling practices.

5. Data Retention

  • Account Data: Retained while your account is active and for a reasonable period thereafter for legal and operational purposes.
  • CRM Data: Retained according to Account preferences and applicable data retention requirements.
  • Application Data: Retained for as long as necessary to process applications and comply with legal requirements.
  • Usage Logs: Typically retained for up to 12 months for security and operational purposes.

You may request deletion of your personal data by contacting us (see Section 9).

6. Data Security

We implement appropriate technical and organizational measures to protect your information, including:

  • Encryption of data in transit (TLS/SSL) and at rest.
  • Secure authentication mechanisms.
  • Regular security assessments and monitoring.
  • Access controls and role-based permissions.
  • Secure cloud infrastructure with reputable providers.

However, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security of your data.
